Mission: SSG-Project 180 provides practical and clinical behavioral health, re-entry, and diversion solutions that empower justice-involved Angelenos to achieve lasting personal transformation and reclaim their lives.

Org. Summary: Project 180 is a leader in the forensic treatment space, offering high-quality, specialized treatment programs that serve thousands of justice-involved individuals. Our programs span criminal justice intercepts and include pre-arrest interventions, court-based diversions, jail in-reach, and intensive post-release services. Project 180 operates in partnership with Los Angeles County agencies including the Department of Mental Health (DMH), the Department of Health Services (DHS), and the Justice, Care and Opportunities Department (JCOD). Annually, we serve over 1,500 justice-involved individuals.

The Position

Under the supervision of the Senior Director and/or Quality Improvement Manager, the Health Informatics Supervisor is responsible for the administration and management of the organization’s electronic health record (EHR) systems, including Exym and the Integrated Behavioral Health Information System (IBHIS). The position ensures the accuracy and compliance of billing and claims processing, manages staff access and credentialing requirements, and provides technical and administrative support to program staff. The Supervisor also generates and analyzes reports related to revenue, client services, and staff performance metrics, serving as a key liaison with Los Angeles County DMH to maintain compliance with billing, reporting, and system requirements. The Supervisor blends a strong clinical lens with a passion for data, compliance, and system efficiencies. They enjoy toggling between the technical backend aspects of their role and engaging directly with other clinical professionals and direct service staff.

Essential Functions

EHR & DMH Systems Administration

Serve as the Systems Administrator for the electronic health record (EHR), ensuring functionality, access, and compliance.
Manage the program’s Integrated Behavioral Health Information System (IBHIS) in compliance with Los Angeles County DMH protocols.
Establish and monitor monthly claim submission deadlines for staff to ensure billing timeliness.
Conduct quality assurance reviews of claims and follow up with staff to resolve discrepancies.
Delegate accurate and timely submission of insurance claims in coordination with SSG billing staff.
Ensure billing denials are resolved; with completed corrections and resubmissions occurring on a weekly and monthly basis.
Serve as the subject matter expert for DMH administrative systems, including NAPPA, SRTS, SAR, JEP, and other applications.
Coordinate and monitor DMH access requests for new and existing staff.

Partner Liaison & Reporting

Act as liaison between Project 180, DMH Administration, and EHR vendors; attend DMH and internal agency meetings to stay current on billing and reporting requirements.
Prepare and deliver reports for the Director and managers upon request.
Generate and maintain reports tracking client and staff performance metrics.
Support Manager of Quality Improvement with special projects, as directed.

Quality Assurance

Conduct quality assurance activities to ensure required clinical documentation (NET, LOCUS, annual problem list with forms, assessments, and discharges) is completed and submitted within established timelines.
Conduct clinical documentation audits.
Train supervisors on aligned quality assurance (QA) processes.
Provide clinical documentation training for new hires, including intake, assessment, problem list, billing/documentation, and procedure codes.
Organize training and workflows as larger state and county changes occur.

Manage staff to ensure high-quality service delivery and outcomes

Hire, onboard, and train new staff members, with support from the Quality & Outcomes team, as appropriate.
Supervise staff to meet performance expectations. Provide regular coaching and feedback, conduct annual performance reviews, implement disciplinary actions as needed, and perform administrative managerial duties.
Monitor data on staff performance and outcomes. Proactively identify and address issues in order to meet team and program goals.
Help staff troubleshoot challenging situations through weekly supervision, ad-hoc coaching, and direct intervention as needed.
Cultivate strong team culture and staff retention.
Apply racial equity lens to all elements of hiring and supervision. Provide comprehensive administrative support to program staff and managers.

Secondary Functions

Perform other tasks and responsibilities, as assigned by manager.

Licensed clinicians only: Provide clinical risk assessment and crisis intervention:

Maintain LA County LPS designation
Complete clinical risk assessment and facilitate psychiatric hospitalization and/or safety planning, as appropriate
Participate in division 24-hour crisis line rotation

Minimum Qualifications

3-5 years clinical behavioral health experience
Master’s degree in social work or mental health field from an accredited college or university, and valid license (LCSW, LMFT, LPCC) or registration (ASW/ACSW, AMFT, APCC) with licensing body (i.e. the BBS).
- If not yet licensed, must be done with clinical hours requirement

Experience with LA DMH systems (i.e., SRTS, IBHIS, NAPPA)
Experience with Microsoft Excel
Experience with Exym and behavioral health billing practices
Verification of Employment Eligibility and Background Check

Supervisory Responsibilities

The HIM Supervisor will be responsible for overseeing the Quality Improvement/Billing team.

Environmental Conditions

Job duties are to be performed both in office and field settings.

Physical Requirements

The employee is expected to sit, stand, walk, carry a maximum of 20lbs, listen, speak, and drive in order to complete job requirements.
